Managing a Meeting – Overview

Headphones and Microphones

For best sound quality in a zoom meeting, it is important that everyone:

  • wears headphones (this prevents audio “feedback” and echo caused when the sound from the computer speakers loops back into the computer microphone)

  • mutes (silences) their microphones when not talking (this reduces background noise and distractions)


Zoom Meeting Screen

Before we start, you may want to look at this Zoom tutorial video on Meeting Controls.

Let’s look at the main Zoom screen in Speaker View (n.b., the row of buttons at the bottom will disappear after a few seconds of mouse inactivity):

This toggles between Speaker and Gallery views. In Speaker View, the speaker’s video will occupy a larger part of the screen and the rest will appear as thumbnails

This allows you to mute or unmute your microphone. If the host has muted everyone, you may not be able to unmute yourself.

This allows you to start or stop your own video.

By clicking the Security icon, hosts and co-hosts have an all-in-one place to quickly:

  • Click Manage Participants in the host controls to display the participants list:

  • Click the drop-down menu located at the top-left corner to close the participants list or click Pop Out to separate the participants list from the meeting window:

  • Hover over a participant and click More for these options:

Chat,Stop Video,Make Host ,Make Co-Host ,Allow Record,Rename,Put in Waiting Room,Remove

TIPS

If students virtually “raise their hand” with a question during the meeting, you will see a blue hand icon next to their name.

Access the chat window to chat with the participants

Start sharing your screen. You will be able to select the desktop or application you want to share. When you are screen sharing, the controls will appear at the top of your screen, but you can drag it to another location.

Start or stop a cloud or local recording

(only available to the host): Breakout rooms allow you to split your Zoom meeting in up to 50 separate sessions. The meeting host can choose to split the participants of the meeting into these separate sessions automatically or manually, and can switch between sessions at any time. Start breakout rooms.

(only available to the host): Display the following two options.

  • End Meeting for All: End the meeting for yourself and all participants.

  • Leave Meeting: Leave the meeting. You will be prompted to assign a host so that the meeting can continue.
